Customer Operations Specialist

JOB SUMMARY:
We are seeking a highly effective, data driven Customer Operations Specialist to provide a broad range of customer order fulfillment, communications and support, offering world class communication to customers. The position will be working closely with stakeholders across the organization to optimize order patterns, customer communication, identify and analyze cost reduction opportunities and will work closely with the Customer Operations Inventory Manager, Director of Operations and the VP of Operations to deliver short and long-term cost savings opportunities.
JOB RESPONSIBILITIES:
- Own order entry and tracking from receipt through delivery
- Ensure all customer purchase orders are entered accurately and confirmed in a timely manner
- Monitor order progress and communicate proactively with customers on status updates, delays, and exceptions
- Coordinate daily with internal teams (Sales, Supply Chain, 3PL) to ensure on-time and complete order fulfillment
- Liaise directly with customers to handle inquiries, provide product availability updates, and resolve service-related issues professionally and efficiently
- Communicate product availability and shipping timelines clearly to Sales and customers
- Support transportation planning by coordinating appointment scheduling and shipment tracking with 3PLs and warehouse partners
- Assist with new item launches by managing item setup and ensuring smooth onboarding into the order-to-delivery process
- Track and report on service performance metrics (fill rate, OTIF, short reasons, etc.), and support continuous improvement initiatives
- Collaborate with the Customer Operations & Inventory Manager to flag fulfillment risks, allocation needs, and escalated issues
- Work closely with operations team members to improve planning tools and reduce /eliminate redundant reports or tools that are no longer adding value
- Ensure the quality of all services provided meets the required standards
- Independently identifies process improvement opportunities, recommends proactive solutions to service performance, executes those solutions, and effectively communicates the outcome to sales and supply chain leadership teams
- Tracks, analyzes, and reports weekly, monthly, and quarterly performance results to customer, sales team, marketing, and supply chain leadership

JOB QUALIFICATIONS:
- BS degree in Business, Engineering, Finance, Operations or Supply Chain, or equivalent applicable work experience
- Certified in Production and Inventory Management (CPIM) preferred
- 3-5 years of progressive experience in operations/supply chain analytical work as a Supply Chain Analyst/Manager
- Experience with demand planning and forecasting preferred into a multiple DC's environment
- High level skills in Excel and data analysis (e.g., ALL IFS, INDEX MATCH, SUM PRODUCT, PIVOTS, SLICERS, QUERY, DATA VALIDATION, etc.) to improve costs, analyze capacity, analyze demand, optimize logistics, and/or drive CI initiatives
- Supply chain experience in a startup food company a plus
- Ability to thrive in a challenging and fast paced entrepreneurial environment and develop it into a more sophisticated and scalable platform
- Ability to multi-task in a fast-paced environment, ability to make decisions, solve practical problems and deal with a variety of changing situations
- Proven track record of initiative, follow-through and results
- Data driven approach to analyzing the entire scope of the supply chain to deliver continuous improvement (CI) solutions to reduce COGS and optimize inventory
- Experience mining for and extracting data from Quick Books a plus
- Strong communication skills when presenting findings to stakeholders in a clear, concise and compelling manner
- Excellent people skills, with an ability to partner with a dynamic, new and growing Good Culture team and work directly with Co-Mans to get needed information for analytical work
- Travel - Up to 20% (primarily upper Midwest)
